Section 03
Four repeatable routines: posts go live, stories from your phone, the Les Elfes Wednesday post, and the ads check.
Do this once a day, ideally late morning, for Les Elfes and MAAH. The content is already scheduled: you are confirming it actually published.
Go to the Planning tab. Filter to the client and to today.
Anything marked scheduled for today should now show as published.
Open the actual IG/FB profile and check the post is live and looks right.
If a post failed, re-publish it from Metricool or schedule it again.
If something's broken you can't fix, flag Pauline (emergency only).
Everything is pre-scheduled by Pauline in Metricool and sent to your phone as a notification when it's time to post. Anything she couldn't plan before leaving is flagged in the calendar.
Metricool pings your phone when a story is due (Les Elfes & MAAH).
Check the visual, any text, link or sticker is correct and on-brand.
Follow the notification flow and publish the story to Instagram.
Open the profile and confirm the story is showing in the ring.
Once a week, a carousel + stories built from fresh camp photos on Flickr. Easy — but it goes past Pauline for approval before it's scheduled.
On Flickr, select 10–15 photos from all the groups — a nice mix of activities and kids having fun.
Drop them into the Les Elfes Post Mock Up deck (calendar Slides) as carousel + stories.
Screenshot the mock up and send it to Pauline on WhatsApp. Wait for the OK.
Once approved, schedule the carousel post and the stories in Metricool.
For all four clients (Naago & JDC are ads-only), in Meta Business Suite / Ads Manager. A five-minute health check — you're not optimising, just spotting problems. Anything you can't easily fix: message Pauline.
Go to Ads Manager for each client account.
Campaigns are Active and delivering: nothing paused or stuck 'in review'.
Spend is pacing normally — no campaign stuck at zero or overspending.
No ads rejected or accounts flagged. These need action — flag Pauline.
Glance at comments on the active ads: just check for spam or anything sensitive, and hide/flag it.
Click the ad's link once — make sure the landing page still loads properly.
The weekly events story file is built automatically every Monday morning — your job is to check it, get it approved and schedule it, not create it. If something is really broken, rebuild it yourself in Canva from past weeks' files.
Open Canva and look for the latest weekly events creative — a fresh one appears every Monday morning.
Right event, date, property and image for all 9 hotels — verify against the property event pages below.
Reads well, on voice (rules in the calendar). Small fixes in the file; rebuild from past weeks only if broken.
Export the event stories, plus the GIF for the mock up.
Add the GIF to the Post Mock Up deck, screenshot it into the calendar sheet, then tell the client on the WhatsApp group it's ready for approval.
Recap story at 3pm Monday; all event stories at 10am on their day, for the whole week.

A boost of existing organic Instagram posts — no new creative, set up in Meta Ads Manager.
Tuesday to Monday, every week. The client confirms which posts to boost on Monday; you set up the new boosts Tuesday morning.
Always 500 per post (set in $): 150 on the South ad set, 350 on the North ad set. Each post = one 500 boost.
Europe South (Italy, Spain, Portugal — cheaper) and Europe North (pricier). The split stops all the budget flowing to the cheap countries.
Pre-saved, never rebuild: International Travelers (default), Dog Lovers (dog posts), Fitness (gym posts). Just pick the right one.
Reach for carousels, Video views for reels. A reel also needs the Reels placement ticked; a carousel does not.
Stop last week's ads
They auto-stop Monday evening, but stop them manually so they get no extra budget. Note the spend in the Ad Boost Tracker.
Find the right ad set
Is this week's post a reel or a carousel? Which audience — Travelers, Dog Lovers or Fitness? Pick the matching ad set (North & South).
Raise budget + end date
Edit that ad set: add +150 to South and +350 to North, and extend the end date to next Monday.
Check audience & placements
Saved audience still selected. Manual placements, Instagram only: feed, profile, home, stories, search. Add Reels only for a reel — Meta sneaks extras in.
Duplicate the ad
Duplicate last week's ad into the same campaign + ad set. Use existing post, then swap to this week's. Stay on the Instagram tab, not Facebook.
Set link + CTA
Specific hotel page if the post is about one hotel; the all-hotels link for generic posts (e.g. dogs). Call to action: Book now.
Clean the ad
Turn OFF the AI creative enhancements (keep only Text improvements). Keep the URL tracking parameter (paid social tracker).
Publish + repeat
Publish, then duplicate into the other ad set (North/South). Mark it running in the tracker. Next day, check the post's comments.
If it errors (WhatsApp required, or a generic fail): usually a false alarm — re-select the page and post, or refresh, then publish again. This July you boost: a Flims carousel and a breakfast reel, both International Travelers, 500 each.
Section 04
Your weekly rhythm, where the logins live, and the do's and don'ts.
MAAH events: check the Canva file · client approval on WhatsApp · schedule (recap 3pm Mon, stories 10am daily). Daily checks too.
Daily checks + launch the MAAH weekly boost in Meta Business Suite (Tue → Mon cycle).
Daily checks + Les Elfes Wednesday post: Flickr pics → mock up → Pauline's OK → schedule carousel + stories. Mid-week ads check-in: Naago, JDC, MAAH & Les Elfes.
Daily checks: posts live, stories out, ads healthy.
Daily checks. Make sure weekend-scheduled posts/stories are queued.
Light touch: quick look that scheduled weekend content went live. No new builds.
All logins are shared with you directly by Pauline — never stored in this file. Missing access to Metricool, Canva or Meta? Just ask her.
No full Drive access needed — everything you use is linked from each client's slide: calendar sheet, post mock up deck, image bank and the July folder.
One workspace, all clients connected. Switch client from the top selector.
Canva: use Pauline's login — she'll share it with you directly. Meta Ads Manager is reached per client (Claudia owns the Naago ads access).
Security note: this deck never stores passwords.
Confirm posts actually went live, not just that they were scheduled
Stick to each client's brand kit and existing templates
Flag anything broken early: better a quick message than a silent gap
Don't create or change paid budgets without checking with Pauline
Don't post anything off-calendar or off-brand without asking
Don't optimise or restructure the ads: just monitor them
